Proposals are hereby invited for the provision of flight ticket bookings and travel agent services. The travel agencies shall have international representation and provide complete, prompt, accurate, and expert international travel products and services to DRC. The products and services include, but are not limited to, the following: i. Booking flights for domestic & international travel. (Online and through a travel agent); ii. Option of holding the booking for 12 hrs. minimum; iii. Providing travel itineraries & confirmations; iv. Submitting expenses and invoices; v. Reporting and Analytics for DRC Management; vi. Arranging hotel accommodations for various destinations (Optional); vii. Visa Services (Optional). The required services include: 1. Flight Bookings: Arranging flight bookings with the most efficient routes, offering competitive rates across both Domestic, Inter Continental & Intracontinental flights. The expected start date of the agreement is February 1, 2025. All onboarding requirements, including end-user training, must be completed before the agreement date. 2. Electronic Booking System: Providing a seamless, user-friendly online booking platform accessible through computers or mobile devices, enabling DRC personnel to book tickets independently and on behalf of others. The system should display all relevant flight options (including the low-budget airlines), fares, and routes clearly. The booking system must provide the following essential functionalities for DRC’s daily operations: a) Filters that can be customized to suit individual requirements such as time of day, stops, CO2 emissions. quickest, best etc; b) The Electronic booking system should have a tailored default view function for DRC (e.g: prefilled spaces with email, project numbers etc); c) Immediate or rapid ticket issuance, allowing for ticket receipt within a few hours when required; d) An on-hold option for reservations, with a minimum hold period of 12 hours, though a longer hold period would be preferable. 3. Travel Agent Assistance: In cases where the electronic booking system does not present all available offers, or specific complex bookings are required, travel agents should be readily available to assist and finalize bookings. The travel agency’s representatives must provide assistance in English, with proficiency in French highly desired to support both our Anglophone and Francophone Country Operations 4. Travel Support Services: Providing customer service to support changes, cancellations, and rebooking, ensuring minimal disruption to DRC operations. The travel service provider is required to provide a dedicated 24/7 contact support representative for DRC staff travel needs. This DRC-dedicated Travel Expert must have continuous access to the booking system and be available to provide support during emergencies as needed. 5. Billing & Invoice: The travel agency shall submit a consolidated monthly invoice, in addition to the invoice presented at the time of booking to the DRC Travel Focal Point at the relevant Country Office HQ.
